We know many of you are actively exploring new technologies to streamline your workflows, and we fully support using innovation to manage the fast-paced nature of our School environment.
Recently, there has been a massive surge in popularity for new AI tools like OpenClaw (often recognized by its cartoon lobster logo) and Moltbot.
While these tools are being heavily promoted online for their productivity benefits, they pose a severe and immediate risk to our School’s data security and safeguarding protocols.
The Risk: "Agentic AI"
Tools like OpenClaw are fundamentally different from standard AI chatbots.
They are "Agentic AI." Rather than just answering questions, they request deep, system-wide access to your computer—including your files, emails, messages, and browser history—to take actions autonomously on your behalf.
Granting this level of access exposes highly sensitive School data, such as pupil records, safeguarding notes, and parent communications.
The Policy
Under no circumstances are staff permitted to download, install, or use OpenClaw, Moltbot, or any similar "agentic" AI tools on School devices, or on any personal devices used to access School systems.
Please be reminded of our Staff ICT Acceptable Use Policy:
- Members of staff must not download or install computer programs without the consent of the Director of ICT.
Data Protection legislation requires us to take all reasonable steps to protect personal information from misuse and unauthorized access.
Approved AI Tools
We still encourage the safe and responsible use of AI. You are permitted to use AI tools that are strictly covered by the School's Enterprise Agreement Contracts. Because these are enterprise-level agreements, our data is securely ring-fenced and will not be leaked into the public domain or used to train public models.
You may safely use:
- Microsoft Copilot: (You must be logged in using your official School Microsoft Account).
- Google Gemini: (You must be logged in using your official School Google Account).

If you have already downloaded OpenClaw, Moltbot, or a similar agentic tool to your work device or a personal device used for work, please contact the School's ICT department immediately so we can assist with safely removing it and securing your accounts. If you are unsure as to whether any tools you use may breach policy, the ICT department can assist you in determining such appropriately.
